Managing Orders in WSM: Finding, Editing, and Exporting
A complete guide to the order workflow in Web Shop Manager: finding orders, statuses, edits, tracking, refunds, and exports.
This guide ties together the day-to-day order tasks in Web Shop Manager and links to the
detailed article for each one.
Finding orders
1. In Web Shop Manager, hover over Orders and click All Orders.
2. Use the search and column filters to locate orders by ID, customer name, email, status,
or date range.
3. Highlight an order and click the Edit icon to open it.
For orders customers started but never completed, use the Orders in Progress report (see
Feature Focus - Orders in Progress Report). It is a useful view for cart-abandonment follow-up.
Understanding order statuses
• Building / In progress — the customer added items and reached checkout but has not completed payment.
• Paid / Processing — payment captured; the order is ready for fulfillment.
• Shipped / Complete — fulfillment done; tracking (if any) has been added.
• Canceled — voided orders; stock and reporting update accordingly.
• Fraud review — if you use Kount, orders flagged by fraud screening carry a fraud status you should clear before fulfilling.

Note: Order IDs are assigned when a cart first proceeds to checkout, not when payment completes — so completed order numbers are not always sequential. See “Why are order numbers not in numerical order?” for the full explanation.

Editing an order
From the Edit Order page you can change the customer account, billing/shipping addresses,
shipping method, tracking number, product prices and quantities, product options, discount
amount, and order comments. The EDIT ORDER PAGE article walks each section, including
Change History (a record of admin edits) and Order Logs (every API call between your site,
carriers, and payment gateway).

Note: Editing a paid order never changes what the customer was actually charged. For an incorrect charge, cancel and refund the order, then place a corrected one.

Adding tracking numbers
Enter tracking on the order directly, or add tracking in bulk with a CSV using IMPORT
TRACKING NUMBERS. Bulk import is the fastest route when your warehouse or 3PL returns a
daily shipment file.
Canceling and refunding
Refunds are issued against the payment gateway; see “How do I process a refund?” and “How
do I refund an order?”. After refunding, cancel the order so stock and reports stay accurate.
Exporting orders
1. Hover over Data and click CSV Profiles.
2. Choose (or copy and adjust) an order export profile — see “How do I create a CSV
profile for importing & exporting?” for building custom profiles.
3. Run the export for your date range and download the file.
Troubleshooting an order
The Order Logs section on the Edit Order page is your best diagnostic tool — timestamps for
every payment and shipping API call. The site log can also be searched by order ID for a wider
view of events around the order.
