Troubleshooting CSV Imports and Exports in Web Shop Manager

Web Shop Manager's CSV import and export tools let you manage large amounts of catalog data quickly. This guide covers common questions and issues that come up when working with CSV files—such as choosing the right export, resolving import errors, and formatting imported data correctly.

1. Choosing the Right Export Profile

Your store may offer several export options, and it isn't always obvious which one covers the data you need. For example, you might want to:

    • Export all fields for all SKUs, or
    • Export only the products in a specific brand or category (such as a single manufacturer, or a group like trailers or specialty vehicles).
Because export profiles are configured for each store's unique catalog, the fastest way to get the right file is to tell us exactly what you need.

What to do:

    • Make a note of the data you're trying to export (for example: "pricing and category info for all SKUs," or "all fields for one brand").
    • Contact WSM Support and describe the data you need.
    • Support can point you to the correct existing profile—or set up a tailored profile for your specific request.

2. An Import Fails With a "Missing Field" or "Column Not Found" Error

If a CSV import fails with an error saying a field or column doesn't exist—or that a required field is missing—the fastest way to get it resolved is usually to bring the details to us so we can look at the specifics.

How to fix it:

    • Contact WSM Support and include both the CSV file and the name of the import profile you're using. That lets us compare the two directly and identify what's causing the error.
    • As one common cause to check first, open your CSV file and review the column headers at the top. Mismatched column headers are one common thing that can trigger this kind of error, so correcting headers that are misspelled, renamed, or missing can sometimes resolve the issue on your own.
3. Imported Data Isn't Sorting or Formatting as Expected

Sometimes an import succeeds, but the data—such as product attributes—doesn't appear sorted or formatted the way you intended.

The cause can vary from case to case—it may relate to how the values were entered in your file, how the receiving field handles the data, or something specific to your store's setup. Because of that, the fastest way to get a definitive answer is to bring it to us.

What to do:

    • Contact WSM Support with the CSV file and a clear description of how you expected the data to appear versus what you're actually seeing.
    • If you'd like to try adjusting things yourself first, it can help to review the order and formatting of the values in your source CSV and confirm they're entered consistently (for example, consistent spelling, capitalization, and separators), then re-import with the corrected file.

4. Bulk-Adding PDF Attachments to Many Products

If you need to attach PDF files—such as installation instructions or spec sheets—to a large number of products, doing this one product at a time can be time-consuming, and you may be wondering whether a CSV/spreadsheet-based import could speed things up.

What to do:

    • Contact WSM Support to ask whether bulk-attaching PDFs via import is possible for your store's setup, and if so, what the process and file format would be.
    • If it is an option, it helps to have a spreadsheet ready that lists your products and the attachments you'd like to associate with them, so Support can confirm your file is structured correctly before you run anything.
Because attachment handling can depend on how your files are hosted and referenced, confirming the setup with Support first is the safest approach.
